Introduction

Thank you for your interest in being an exhibitor at Salute, the UK’s premier wargames show, presented by the South London Warlords wargaming club www.southlondonwarlords.co.uk

All exhibitors including traders, trader games, clubs and societies and any other stands or games must book a space through the online form with our online form here: Exhibitor Booking — South London Warlords

Previous years bookings are not carried over and your place at Salute cannot be assumed due to email communications or otherwise. The only way to book is through the online form.

Even if you have been to Salute for 30 years please read the guidance below (Part A) and the Terms and Conditions (Part B) before completing the form. 

Part A: Guidance for Form Completion 

Contacts and Websites 

  1. Email addresses should be of the lead contact of the show and preferably not a generic ‘info@ ‘ address.  

  2. The website (or social media) address will be directly lifted for use on our website listings and the show program, so check accuracy.

Exhibitor Types

  1. Select the type of organization and presence you require at the show

  • ‘Games Club/Society’: clubs, societies, groups of friends etc putting on a game.

  • ‘Trader’:  requiring a stand for selling products. A trader may also book a game/activity space.

  • ‘Commercial Game’;  an active, participative game for testing or marketing, BUT selling of actual product not allowed.

Trade Stand Options and Layout

  1. Stands are mainly sold in 6’ wide blocks, 13’ deep.   

  2. Stands come with up to two 6’x2.5’ trestle tables, one rear, one front  – per 6’ of stand.   Specify on the form  the actual number required to a max of 2 per 6’ of stand.  We also provide two chairs per stand.  

  3. Even if zero tables are required, one may be provided to locate the stand position.  There are surplus table and chair stores in the hall for use by exhibitors.

  4. There are no dividing screens between stands, sides or rear, except for end of row stands , which are open on 3 sides with acoustic boards at rear (eg TD02 below). A limited number of stand spaces  back on to  an exterior wall.    See diagrams below. The light blue rectangles in the first diagram are the trestle tables.  

  5. Use of tables in alternative layouts are allowed only by agreement with the Salute team.

  6. Stands come without power unless ordered.

  7. Stands come with entry wrist bands as noted in pricing table.

  8. Trade stands  below 18’ are not suitable for and have insufficient room for proactive demos or activities. A game/activity space should be booked.

Games/Activities Tables 

  1. The space we offer is based on 6’x2.5’ trellis tables e.g. booking a 6’x7.5’ is three trellis tables and space around it to allow viewing and participation.

  2. These spaces must be used for active games and participative activities not static display or as extra trading space.

  3. There are options for having three or  five tables in a U shape for activities.

  4. Each game table comes with 4 chairs. More chairs can be obtained on the day as needed.

  5. We offer larger games or society the option of an extra table as set up space or to display society material.

  6. Games booked by traders will be allocated as close to their stands as possible. 

  7. Traders and commercial games are limited to two games table to a maximum of 5’x6’ .  Clubs are limited as per options listed.  Other options to be discussed with the Salute team. 

  8. Clubs/Society games get six free wristbands and can request extra wristbands.

Post Booking/Next Steps

  1. After submission of the form ,you will receive a confirmation receipt of your booking request that lists what you asked for.   

  2. That is  not a confirmation that your booking has been accepted - confirmation is through your payment of 10% deposit non-refundable deposit which you will be invoiced for asap after your booking.  The remaining 90% will be invoiced in December. 

  3. Queries should also be sent to exhibitors@salute.co.uk only.  Always put your organization name and, once allocated, your stand/game ID,  in the headers of emails you send us. 

  4. In due course you will receive:

    • a summary of promotional opportunities you may wish to engage with

    • a plan with your stand position

    • invoices as above

    • an ‘On the Day’ guide for show setup and operation

Part B: Terms & Conditions

By making a booking you are deemed to have agreed to the following terms and conditions.

  1. We reserve the right to refuse bookings without explanation.

  2. Payments for bookings are not refundable under any circumstances and bookings are not transferable.

  3. Traders may not provide a pick up point for other trader’s online sales (if you wish to sell at Salute, be at Salute).

  4. Stand sharing  of 6’ stands is allowed only by specific agreement of the organizer  e.g. If two companies wish to share a stand they will need to buy 12’ of space. 

  5. We reserve the right to request changes before or on the day of the show, to the layout, content and material of any stand or game, and reserve the right to close a stand or game that does not meet our reasonable requests.   

  6. We reserve the right to offer a different setup and size of stand or game from that requested as necessary to accommodate all exhibitors and games at the show.  

  7. Purchase of a marketing /display game space allows marketing and promotion of a commercial game/activity from that space  but no product sales.

  8. No marketing, leafleting, selling or other such activity may be conducted in the show hall except from your stand or table.  It is also specifically not allowed in the  queue area or on the Excel Boulevarde. You may not leave leaflets or material on the South London Warlords merchandise stand nor on cafe area tables.

  9. Spaces booked for games/activities must be used for active and proactive games or activities and not as a static display or for sales.

  10. Waste - exhibitors are responsible for the disposal of packaging and other waste. Trade waste can only be put in the large wheeled bins.  Small bins are for customer use only.  Any waste that will not fit in a bin must be taken away by exhibitors.   Any waste left on the floor or as overflow from bins  incurs a cost to us that we will re-invoice to offending exhibitors.  

  11. The South London Warlords are not responsible for losses caused by show cancellation or change in hours as a result of causes beyond our control.

  12. The South London Warlords are not responsible for any loss of or damage to trader stock or games scenery or models.

  13. In line with GDPR we hold your information for the purposes of contact with you in regard to your presence at Salute, and for promoting Salute only.  By booking a space you accept the use of your data for this purpose. 

Part C: Pricing 

Trade Stands Game/Activity Spaces

Stands are 13’ deep unless otherwise specified.  Max width for blocks is 26’. 

Stands come without power.  Charity stands are £0
